Summary of Major Responsibilities

The Facilities Space Planner will work with Facilities and other key stakeholders to assist in planning, optimizing, and coordinating company-wide space utilization within a dynamic work environment. This role will partner with internal customers seeking additional or redesigned space, as well as external vendors, contractors, and design professionals to provide interim and long-term proactive space solutions. The Space Planner will routinely analyze space usage and departmental requirements to develop, plan, allocate, and implement space plans in new and existing facilities based on forecasted needs. This role will organize personnel and equipment moves within a facility and from facility to facility, will maintain current facility floor and furniture plans, and manage attribute data in future CAFM/IWMS tools.

Essential Duties and Responsibilities

  • Develop near and long term space occupancy plans including stacking/blocking diagrams to proactively respond to headcount forecasts.
  • Design, plan and coordinate workstation/office and equipment moves/add/changes (MACs) based on stakeholder requirements.
  • Maintain current floor and furniture plans for all facilities, uploading as-builts into the EQMS as required.
  • Manage and maintain space allocation, space assignment, space signage, and office occupancy metrics within a CAFM/IWMS system and prepare periodic reports as requested.
  • Maintain room finish, furniture, and accessory attributes in CAFM/IWMS.
  • Prepare test fit plans and preliminary scope documentation for project budgeting.
  • Maintain furniture and auxiliary accessories inventory and repurpose when feasible.
  • Research and recommend creative workplace furniture solutions supporting company culture.
  • Respond to space requests within CMMS and IT Service Portal.
  • Provide world class service to internal customers.
  • Complete facility audits focusing on interior aesthetics and furniture utilization.
  • Coordinate conference room scheduling for required maintenance/remodeling.
  • Participate on the ergonomic sub-committee of the Safety Committee team.
  • Complete additional responsibilities as assigned.

Occasional Duties and Responsibilities

  • Up to 10% travel may be required

Education and Experience

  • Bachelor's degree in related field and at least five years’ experience in corporate real estate or facilities; or an equivalent level of education, training and experience.
  • Working knowledge of state-of-the-art work management tools CAFM/IWMS, CMMS, AutoCAD, etc.
  • Basic understanding of furniture panel systems and office furniture.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Experience in an FDA, CLIA, or CAP regulated industry preferred.

Physical Requirements

  • Ability to use and wear safety protective gear/equipment (e.g. safety glasses, hard hat, lab coat, gloves, respirator, etc.) and follow safety guidelines.
  • Ability to use computers daily in an interactive manner for extended periods of time and up to 8 hours per day.
  • Ability to sit for an extended period.
  • Ability to stand for extended periods of time and up to 6 hours at a time.
  • Ability to travel (by land and air), on occasion.
  • Ability to frequently and accurately communicate with employees, customers, and vendors in person, via the telephone or by email.
  • Constant walking or motion to coordinate work and interact with co-workers.
  • Ability to lift and move up to 40 pounds on an occasional basis.
  • Specific vision abilities required by this job include close vision, color vision, depth perception and ability to adjust focus.
