Summary of Major Responsibilities

The Recruitment Coordinator is responsible for ensuring the success of critical Talent Acquisition initiatives, processes and events. The Recruitment Coordinator will be responsible for scheduling interviews, managing the employment offer & conversion process, onboarding process and the Employee Referral Program for their assigned areas of support. In addition, this position will play a support role in the maintenance of various metrics and reporting activities as well as posting of positions to various advertising resources.

Essential Duties and Responsibilities

  • Create, post and update requisitions in applicant tracking system.
  • Schedule phone, technical, video and onsite interviews in all locations for all levels of positions (includes direct candidate contact and coordination activities, as well as partnering with vendors as needed).
  • Act as a resource to provide information and assist candidates with booking travel, lodging and other logistics associated with the interview process.
  • Respond, route and manage inbox and calendar activities for the Jobs and Interview email boxes.
  • Oversee the communication, maintenance, tracking and payout processes for the Employee Referral Program.
  • Process background checks for all candidates.
  • Support the temporary employee conversion process.
  • Update and maintain the Open Position Report and other metrics related to reporting for the recruiting team.
  • Facilitate the offer process including requests for approval, creation and sending of offer information to candidates.
  • Partner with and provide back up support to the HR Coordinator to facilitate the new employee onboarding process.
  • Process, track and ensure all recruiting related expenses, invoices and fees are coded and approved correctly.
  • Post and maintain career postings on external websites.
  • Provide ongoing organization & maintenance of recruitment files and electronic records to ensure compliance with document retention & data accuracy. Complete audits and data storage updates as needed.
  • Maintain and protect confidential data with utmost scrutiny, judgment, and care and ensure awareness of and compliance with employment regulations and laws.



Minimum Requirements

  • Bachelor’s degree in a business major, Human Resources preferred or equivalent work experience.
  • Strong commitment to providing world class customer service to internal and external customers.
  • General awareness of regulations & compliance expectations related to staffing & recruiting and other HR guidance.
  • Strong organizational and interpersonal skills; demonstrated ability to build relationships and effectively connect with others; approachable & viewed as a responsive resource for employees and leaders.
  • Excellent communication skills, both verbal and written.
  • Expert knowledge in Microsoft Outlook and working knowledge with Word, Excel and Power Point.

Desired Characteristics

  • Professional experience in a fast-paced business setting.
  • Previous experience in a recruitment support role during a period of rapid business growth.
  • Experience with iCims (or other applicant tracking system).

 Physical Requirements

  • Ability to work in an office setting, operate a telephone system, and a computer.
  • Ability to travel between office locations in Madison, Wisconsin (approximately 8 mile radius).
