  • Summary of Major Responsibilities

    The Employee Reimbursement Specialist is responsible for performing accounting and clerical tasks related to the efficient maintenance and processing of employee travel and expense transactions in order to ensure effective and accurate financial and administrative operations. The focus of this will be in the employee reimbursement area but could also translate into other accounting areas.

    Essential Duties and Responsibilities

    • Conduct internal audit of employee expense reports and ensure reimbursement submissions are in compliance with regulatory requirements and internal policies
    • Ensure timely routing of expense reports for approval and payment
    • Assist employees with questions regarding the Company’s Travel & Expense Policy
    • Respond or facilitate travel and expense inquiries from employees appropriately
    • Research and resolve travel and expense discrepancies and issues
    • Run various reports for business analysis purposes
    • Monitor monthly expense report levels
    • Maintain up to date Company information within Concur
    • Ensure expense data is properly transferred to the Company’s compliance reporting system when applicable
    • Complete IT Requests for Concur user setups and terminations
    • Order, assign, and coordinate cancellations for corporate credit cards
    • Conduct new hire trainings related booking travel and using the Concur platform to process expense reports
    • Assist in finalization of final expense reports for termed employees
    • Assemble information for external auditors for the annual audit, quarterly reviews and SOX control testing
    • From time to time engage in assignments for upper management to address long term planning and risk assessments
    • Complete ad-hoc projects as assigned
    • Works well with others in a spirit of teamwork and cooperation

    Qualifications

    Minimum Education & Experience Requirements

    • High school diploma or GED
    • 2+ years of professional work experience in a customer focused role requiring attention to detail
    • Proficient in Microsoft Office Software Suite
    • Ability to interact, coordinate and communicate effectively with internal staff and external vendors
    • Demonstrated ability to take on additional responsibilities while delivering successful results
    • Demonstrated organizational and time-management skills
    • Solid verbal and written communication skills with strong attention to detail
    • Adaptable, open to change and able to work in ambiguous situations and respond to new information and unexpected circumstances

     Desired Education & Experience Requirements

    • Associates degree in Accounting, Business Administration, or a similar field
    • Experience with the Concur Business Travel & Expense Management system
    • Experience working with AmEx Global travel
    • Specific experience with processing employee expense reports for reimbursement

     Physical Requirements

    • Ability to use computers daily in an interactive manner for extended periods of time and up to 8 hours per day
    • Ability to sit for an extended period of time
    • Ability to stand for extended periods of time and up to 6 hours at a time
    • Ability to listen and speak on the telephone and write simultaneously
    • Ability to frequently and accurately communicate with employees, customers, and vendors in person, via the telephone or by email
    • Ability to operate telephone system and computer keyboard and printer
    • Ability to lift and move up to 40 pounds on an occasional basis
