  • Summary of Major Responsibilities

    The project coordinator, supports the real estate team by working, closely with project managers, stakeholders and vendors to ensure that project goals are met through excellent coordination and communication.

    Essential Duties and Responsibilities

    • Have awareness of all projects in corporate portfolio and their status.
    • Assists project teams with breaking project work into manageable packages and organizing into a project schedule.
    • Assigns tasks and confirms completion.
    • Ensures on-time delivery of project goals.
    • Leads some medium-sized projects and components of large projects/ programs.
    • Schedule meetings, prepare agenda and minutes at the direction of the project managers.
    • Maintain up-to-date list of core team members, extended teams, and stakeholders for projects in corporate portfolio.
    • Liaison between internal and external stakeholders and Exact Sciences project managers.
    • Keep project management related information organized and available to appropriate stakeholders.
    • Identifies internal and external stakeholders, prepares RACI and maintains communication matrix.
    • Provides oversight of the purchase order and approval process to ensure that correct approvals and visibility is obtained in a timely manner.
    • Facilitates timely contract review and approval by coordinating with internal and external teams.
    • Manages issues and action items collaborating directly with team members to ensure completion.
    • Coordinate and provide communication updates to user groups, management, and project teams.
    • Works with Finance and project managers to coordinate and track budgets including: expenditures, purchase requisitions, open contracts, change orders.
    • Develops systems to organize key project information.
    • Facilitate user group meetings to develop user requirements.
    • Construction site visits and verification reports to ensure work is completed as required.
    • Perform limited technical reviews of construction documents and specification to ensure alignment with user requirements.
    • Expedite the submission of vendor drawings and manuals, placement of material orders, manufacturing, and preparations for delivery.
    • Ensure that any problems that may cause deviation from the technical specifications or project schedule are reported immediately.
    • Maintain positive working relationships with various internal parties and stakeholders.


    Minimum Requirements

    • An associate degree or 2+ years commensurate work experience in a project management support role.
    • Ability to track detail and coordinate multiple tasks both owned individually and by others.
    • Demonstrated success with oral and written communications, results orientation, facilitation, and teamwork skills.
    • Moderate to advanced proficiency with MS Word, Outlook, Excel and PowerPoint.

    Desired Characteristics

    • Certified Associate in Project Management (CAPM) through PMI.

    Physical Requirements

    • Ability to use computers daily in an interactive manner for extended periods of time and up to 8 hours per day.
    • Ability to frequently and accurately communicate with employees, customers, and vendors in person, via the telephone or by email.
    • Constant walking or motion to coordinate work and interact with co-workers.
