  • Summary of Major Responsibilities

    This Administrative Assistant supports the compliance and litigation function of the legal teams by performing a variety of general and specific administrative duties, including report preparation, PowerPoint presentations, organizing and participating in department meeting logistics, managing calendars, and scheduling team member travel and events. This position regularly interfaces with leadership team members, managers and other employees or vendors, etc. to gather and exchange information.

    Essential Duties and Responsibilities

    • Provide administrative and clerical support for assigned departmental area(s)
    • Draft correspondence and presentations, types from notes, edits, proofreads, formats, photocopies, faxes, files, etc.
    • Receive incoming calls, manage requests for information/assistance, and route other calls
    • Monitor multiple shared email inbox and triage incoming requests
    • Schedule and coordinate meetings: i.e., prepare materials, keep minutes, reserve rooms, and arrange for catering food services
    • Manage travel scheduling for colleagues which may include air or ground transportation and hotel accommodations
    • Assist in developing and maintaining shared filing system to track critical information
    • Maintain clear and complete records which comply with the Exact Sciences’ Quality System
    • Handle confidential and business critical information


    Education and Experience

    • High school diploma or equivalent
    • 3+ years of experience with customer service or in an administrative capacity
    • Experience with expense reporting and expense tracking
    • Experience managing multiple projects simultaneously
    • Proficient with basic software applications: i.e., Microsoft Office, Powerpoint
    • Experience with basic office equipment: i.e., phones, printers, and fax machines
    • Strong communication skills, both written and verbal form
    • Ability to work effectively with all levels of the organization, vendors, customers, etc.
    • Excellent attention to detail and organizational skills

     Preferred Skills and Experience

    • Experience in an Administrative position preferred
    • Experience working with travel management software (ie. Concur) preferred

    Physical Requirements

    • Ability to use computers daily in an interactive manner for extended periods of time and up to 8 hours per day
    • Ability to sit for an extended period of time
    • Ability to frequently and accurately communicate with employees, customers, etc. face-to-face, via the telephone or by email
