  • Summary of Major Responsibilities

    This position performs the functions of the Laboratory Order Specialist under the guided direction of the department Supervisor or designee. In this role, the Laboratory Order Specialist ensures the quality and integrity of the data received into Exact Sciences Laboratories from healthcare providers and other clients. The primary responsibilities of the position are the timely entry of test orders and the resolution of test order issues to include enrollment, entry and clarification. The Laboratory Order Specialist may provide outreach to the provider to convey results or they may also contact the providers to complete order clarification activities. The position will follow all outlined departmental policies, processes and procedures to fulfill their defined role.

    Essential Duties and Responsibilities

    • Responsible for the timely entry and resolution of test order issues(s) or physician enrollment issue(s) for Exact Sciences Laboratories to facilitate timely and accurate test ordering.
    • Conducts all assigned job duties in a timely and productive manner.
    • Meets required metrics as determined by supervisor.
    • Managing and sorting multiple folders.
    • Order validation by checking EMR training is adhered to, combining faxes to complete orders, flagging and tagging true invalids for cross functional teams and flagging HIPAA orders.
    • Managing any mailed in orders or other important documents and scanning into order entry system.
    • Managing order splits and prepping documents for associated files.
    • Act as resource to team as member and train other sorters as business needs arise.
    • Handle special accounts when needed.
    • Provider support as it pertains to documents received.
    • Maintain Turnaround Time for department.
    • Write processes for management and training to improve daily workflows.
    • Working with specially identified exception handling workflows to ensure proper follow up is completed for each document.
    • Working cross functionally with other team members to establish appropriate workflows for order resolution.
    • Perform Laboratory Order Associate duties as needed if business warrants.
    • Other duties as assigned.
    • Support and comply with the company’s Quality Management System policies and procedures.
    • Regular and reliable attendance.
    • Ability to work overtime as needed.
    • Ability to work Monday – Friday, first or second shift.
    • Ability to work in front of a computer screen and/or perform typing for approximately 90% of a typical working day.


    Minimum Qualifications

    • High School diploma or GED.
    • Must be 18 years of age or older.
    • Demonstrated experience working in a medical data entry environment.
    • Ability to navigate multiple systems within order workflow and manipulate files into PDF.
    • Advanced knowledge of Adobe Acrobat.
    • Proficient in multiple computer systems & keyboarding skills.
    • Demonstrated strong attention to detail and focus on quality output.
    • Proven ability to solve complex problems related to overall workflow processes.
    • Demonstrated understanding of HIPAA Laws.
    • Ability to communicate effectively with all levels of staff through both verbal and written communications.
    • Ability to work in a team environment and adapt to changing workload and circumstances effectively; able to respond to new information quickly.
    • Disciplined, self-motivated & reliable; able to stay focused on a task and work independently; motivated to perform quality work; diligent about arriving to work on time and completing tasks that are assigned in a timely manner.
    • Professionalism: conducts themselves in a professional manner in all interactions with members of the Exact Sciences Clinical Laboratory team, clients and associates.
    • Possess a positive attitude.
    • Authorization to work in the United States without sponsorship.
    • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.

    Preferred Qualifications

    • Demonstrated understanding of laboratory terminology.
    • Desired knowledge of medical terminology and medical billing and insurance terms.
