Summary of Major Responsibilities

The Senior Client Implementation Project Manager plans, directs, and coordinates activities of project plans for each client organization to ensure that goals or objectives of projects are accomplished within prescribed time frame and funding parameters. This position ensures that project goals are accomplished and in line with business objectives to ensure effective implantation of the product program. 

Essential Duties and Responsibilities

  • Lead project teams to accomplish project goals, timeline, and budget for each implementation task; mitigate risks and escalate issues when necessary to internal or client management teams.
  • Act as a problem solver to drive decisions.
  • Consult with management, and review project proposals to determine goals, time frame, funding limitations, and procedures for accomplishing project, staffing requirements, and allotment of resources.
  • Identify and schedule project deliverables, milestones, and required tasks for the approach to partner with client organization that upholds a world-class services standard and aligns with the mission and values of Exact Sciences.
  • Prepare status reports and modify schedules and plans as required; develop metrics to effectively measure client organization readiness, as well as project success and satisfaction.
  • Keep management, team, and business areas informed of project status and related issues.
  • Facilitate all customer facing implementation meetings, startup meetings, and continuing education of the product adoption program for the clinical and administrative staff within new client sites.
  • Meet with clients to evaluate current state and identify implementation needs and site-specific objectives that will maximize adoption of Exact Sciences products.
  • Coordinate and respond to requests for changes from original specifications.
  • Monitor project results against specifications.
  • Develop quality assurance test plans.
  • Direct quality assurance testing.
  • Follow established project management practices; including management of scope, requirements, issues, and risks.
  • Create MS Project schedule and utilize the schedule to communicate and manage the work.
  • Manage project budget.
  • Ensure that all required project management deliverables are created and accurate.
  • Prepare project for governance gate approvals.
  • Provide leadership and motivation to project team members throughout the project life cycle.
  • Collaborate with other system process owners within business functions to ensure corporate alignment with the system and other processes.
  • Plan team resource needs; allocate, supervise, and review work.
  • Collaborate with other project and program managers to manage project interdependencies.
  • Coordinate recruitment or assignment of project personnel.
  • Direct and coordinate activities of project personnel to ensure that the project progresses on schedule and within budget.
  • Assemble and direct cross-functional teams to develop and implement Exact Sciences product adoption programs with clients, while developing strategies tailored to each client organization. Assign duties, responsibilities, and scope of authority to project personnel.
  • Directly manage project team members as needed.
  • Engage internal business resources to understand business objectives and to translate into delivery plans.
  • Understand how leveraged applications provide competitive advantage.
  • Develop and gain agreement with stakeholders on project plans and budgets.
  • Communicate plans, status, and issues to higher levels of management. Liaise closely with sales, marketing, laboratory, customer service, and information technology teams to coordinate support across all functions for the client, most commonly for the tasks of enabling an effective product ordering process, providing physician, and patient education materials and training about test process and product performance, and facilitating coordination of client marketing campaigns.

  • Ability to effectively interface with all levels of a healthcare organization, such as C-suite, clinical, administrative, etc.
  • Competency and flexibility in understanding diverse and complex business and technical problems, client requirements, and functional/business objectives in order to develop efficient and effective solutions.
  • Ability to develop, motivate, and lead teams of cross-functional resources.
  • Ability to work in a matrix management organization where the Project Manager has primary responsibility for project success, while relying on a team of resources which may not be directly reporting resources.
  • Ability to manage multiple projects, monitoring, and reporting progress, and exceeding client expectations.
  • Strong time management skills and action orientation.

  • Ability to lift up to 10 pounds for approximately 5% of a typical working day.
  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day.
  • Ability and means to travel between Madison locations.
  • Ability to travel 20% of working time away from work location, may include overnight/weekend travel.

Qualifications

Minimum Qualifications

  • Bachelor's degree in Computer Science, Business Administration, Engineering, Life Science, or a related discipline with an information technology focus; or High School Degree/General Education Diploma and 4 years of relevant experience in lieu of Bachelor’s degree.
  • 10+ years of progressive, broad-based information systems and business experience.
  • 5+ years of IT project management, simultaneous execution of multiple projects, and in providing leadership to sub workgroups within a project.
  • 5+ years of experience with implementation of new technology.
  • 3+ years of experience in a customer-facing sales or support role, preferably in the healthcare industry. 
  • 2+ years of business unit experience, with sensitivity and commitment to business problem solving.
  • Demonstrated leadership of high-performance work teams/groups.
  • Demonstrated competency in project management and simultaneous execution of multiple projects.
  • Demonstrated competency in strategic thinking, with strong abilities in relationship management.
  • Professional working knowledge and application of leadership competencies (to navigate middle-management ranks): especially oral and written communications, influence and persuasion, results orientation, facilitation, and teamwork.
  • Proficient in Microsoft Office to include Excel macros and pivot tables and Word mail merge.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
  • Authorization to work in the United States without sponsorship.

Preferred Qualifications

  • MBA.
  • PMI Project Management Certification or equivalent Agile Certification(s).
  • Demonstrated experience in conceptualizing, documenting, and presenting/selling creative solutions to senior management.
  • Experience managing software development projects using agile methodology.
