Summary of Major Responsibilities

The Amenities Coordinator will assist with the execution of key communication tactics and projects to support the Wellness and Amenities team. This position will collaborate cross-functionally to assist with implementation of Wellness and Amenities initiatives. The Amenities Coordinator will work closely with the Amenities Specialist on internal and external communications. This position will also assist with Amenities based projects to ensure business objectives are met. This person will assist on delivering smaller-scale projects to cross-functional teams.

Essential Duties and Responsibilities

  • Assist with project tasks related to wellness and amenities.
  • Escalate issues when critical risks arise and maintain pulse with project activities to ensure progress.
  • Assist in the preparation of status reports and modify schedules and plans as required.
  • Coordinate project schedules and utilize the schedule to communicate and manage work.
  • Assist with implementing communication and engagement strategies in alignment with business goals and for target audience.
  • Write articles and assist with building print and messages for newsletters, team meetings, email distributions, presentations, and Pulse articles.
  • Update presentation content to reflect current project and business updates.
  • Monitor related media outlets to maintain consistent and timely content.
  • Collaborate cross-functionally with various departments to ensure timing of messages for high engagement rates.
  • Support Wellness and Amenities communication initiatives that result in positive impact across the company.
  • Implement and maintain multiple communication channels.
  • Author, edit, and publish communications regarding key Wellness and Amenities announcements and events.
  • Keep communications fresh, creative, and engaging.
  • Review and edit content of communications materials to ensure it meets standards and guidelines before publication.
  • Leverage internal relationships to capture an accurate outlook of upcoming projects, events, and activities.

  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day.
  • Ability and means to travel between Madison locations.
  • Ability to travel 5% of working time away from work location, may include overnight/weekend travel.


Minimum Qualifications

  • Bachelor’s degree in Business Administration, Marketing, Communications, or related field; or High School Degree/General Education Diploma and 4 years of relevant experience in lieu of Bachelor’s degree.
  • 1+ years of related experience in a marketing setting or involvement in company internal and/or external communications; or an internship in Business Administration, Marketing, Communications, or related field.
  • Proficient in Microsoft Office.
  • Coursework or professional working knowledge with Adobe Photoshop or other graphic design software.
  • Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
  • Authorization to work in the United States without sponsorship.

Preferred Qualifications

  • Ability to use photo and video equipment and editing programs.
  • Coursework or professional working knowledge with strategic planning or project management.
  • Coursework or professional working knowledge in event planning/group events.
